With Voss is a web, app and AI studio on the Gold Coast, Australia, operated by Clean and Green Lifestyle Pty Ltd (ABN 93 166 779 200). We are the data controller for withvoss.com and the With Voss AI Vault service. Contact: [email protected].
If you fill in a contact form we collect what you type: your name, contact details and message. It goes to our inbox and our internal alerts so we can reply. We do not run advertising trackers on this site.
The Vault is a private business memory that your chosen AI assistant reads and writes through a secured connection. For Vault clients we store:
Your notes and files. The business information you or your team choose to put in: policies, prices, supplier details, dropped documents. You choose what goes in; the Vault never crawls your machines.
Version history and an activity log. Every change keeps the previous version for 12 months, and every read, write and search is logged against the person whose login made it. That log exists so you always know who looked at what.
Login details. Names, email addresses and a hashed access key for each person you authorise. We never store passwords in readable form.
If you connect a mailbox, your AI can read, search and draft in it. It cannot send, and it cannot delete. For Microsoft 365 mailboxes, sending is impossible because Microsoft never grants our app a send permission. For Gmail, our software contains no send capability at all.
Mail content is fetched live from Microsoft or Google when your AI asks for it and shown to you; we do not copy your mailbox into our storage. We keep only the connection token and the activity log entry.
With Voss AI Vault's use and transfer of information received from Google APIs will adhere to the Google API Services User Data Policy, including the Limited Use requirements.
We never sell your data. We never use your data to train AI models. We never send email, or anything else, on your behalf. Staff access to client vaults is limited to operating and supporting the service, and it shows up in the same activity log you can read.
Vaults run on Cloudflare infrastructure. Payments are processed by Stripe; we never see or store card numbers. Your data may be processed on servers outside Australia by these providers under their own safeguards.
Current notes stay until you remove them. Old versions and activity logs are kept for 12 months, then cleaned automatically. Anything you trash is permanently removed after 30 days, or immediately if you empty the trash yourself. You can export your entire vault in one click at any time, and if you leave, we delete the vault and its history on request.
Under the Australian Privacy Principles you can ask us for a copy of your personal information, ask us to correct it, or ask us to delete it: [email protected]. If you are not happy with our answer you can complain to the OAIC at oaic.gov.au.
If this policy changes in a way that matters, we tell Vault clients directly. The current version always lives at withvoss.com/privacy.
